Privacy notice
This notice explains what personal information I collect about you, why I hold it, who I share it with and what rights you have over it.
Who is responsible for your information
Trevor Gray, trading as Trevor Gray Therapy, is the data controller. I am registered with the Information Commissioner’s Office under registration number ZA371600.

What I collect
- Your name, email address and phone number.
- Anything you choose to tell me in an enquiry, by email, by phone or through the form on my website.
- Brief notes I make after each session.
- Your GP’s details and an emergency contact, where you give them.
- A record of session dates, fees and payments.
Notes about your therapy are special category data under data protection law, because they concern your health. I treat them accordingly.
Why I hold it, and on what legal basis

Who sees it
Your notes are not shared as a matter of routine. The limited exceptions are:
- My clinical supervisor. All therapists registered with the BACP work under supervision. I discuss my work there without using your name or details that would identify you.
- Emergency or safeguarding services, where I believe there is a serious risk to you or to someone else. See the confidentiality section below.
- A court or the police, where I am legally required to disclose.
- My accountant, who sees payment records but no clinical information.
- Your insurer, if you are claiming through private health insurance and have asked me to invoice them.
I do not sell your information, and I do not use it for marketing.
Where it is kept
Online sessions are held on Doxy.me, a platform built specifically for healthcare consultations. Sessions are never recorded.
Doxy.me states that it does not store information about the people a practitioner sees — no recordings, no notes and no clinical detail. What it does hold is my own account information, my name and email address, and that is stored in the United States. Doxy.me acts as my data processor, and publishes an assessment covering that transfer. You can read their privacy policy at doxy.me/en/privacy-policy.
When you join a session, Doxy.me asks you to type a name to enter the waiting room. A first name is enough, and it does not have to be your real one.
My email and this website are both hosted by Names.co.uk, a UK provider. My notes are kept securely and separately from your contact details.
How long I keep it
- Enquiries that don’t become therapy: deleted within three months.
- Client notes, adults: seven years after our last session.
- Client notes, under-18s: until the person’s 25th birthday, or their 26th if they were 17 when we finished.
- Financial records: six full tax years, as HMRC requires.
Your rights
You can ask me to give you a copy of what I hold, correct anything wrong, delete it, restrict how I use it, or object to my holding it. Where I rely on your consent you can withdraw it at any time. I will respond within one month.
Some of these rights have limits. I may not be able to delete clinical notes I am professionally required to keep, and I will explain if that applies.
If you are unhappy with how I have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. I would rather you came to me first, but you do not have to.
Confidentiality and record keeping
What you say in a session stays between us. That is the foundation of the work, and I take it seriously. There are a small number of limits, and it is fairer that you know them at the start than discover them later.
When I might break confidentiality
- If I believe you are at serious and immediate risk of harming yourself.
- If I believe someone else is at serious risk of harm.
- If a child or a vulnerable adult may be at risk, which I am obliged to report.
- If a court orders me to disclose, or legislation on terrorism, drug trafficking or money laundering requires it.
Wherever it is safe and possible, I will discuss it with you first and involve you in what happens next.
Supervision
Every BACP-registered therapist works under regular clinical supervision. It is what keeps the work safe and effective. I discuss my cases there anonymously, and my supervisor is bound by the same confidentiality I am.
Notes
I keep brief notes after each session. You have the right to see them. They are stored securely and kept separately from anything that identifies you.
If you are under 18
I work with young people in academies, drama schools and performing arts colleges. What you tell me is confidential in the same way it would be for an adult, within the same limits above. Where a parent or guardian is paying or has arranged the sessions, I will agree with everyone at the outset what is and is not shared.
Independence
If your club, agency, production or school has arranged your sessions, they do not get to hear what you say in them. I will confirm to whoever is paying that a session happened, and nothing more, unless you ask me to share something specific.
Terms of service
What I offer
Psychotherapy and counselling, online or in person, as an individual practitioner. I am a registered member of the British Association for Counselling and Psychotherapy and the British Association for Performing Arts Medicine, and I work to the BACP Ethical Framework.
I am not a psychiatrist and I cannot diagnose conditions or prescribe medication. This is not an emergency or crisis service.
Getting started
We start with a free 30-minute call, with no obligation on either side. It is there for you to see whether I am the right fit. If I am not the right person, I will say so and try to point you somewhere better.
Sessions and fees
- Sessions last 50 to 60 minutes.
- Online sessions start from £75. In-person sessions, on set, on tour or at an agreed location, start from £125 plus travel costs agreed in advance.
- Members of Equity, Spotlight and the Musicians’ Union get £10 off one-to-one sessions.
- Payment is by bank transfer after each session.
- Fees may change, and I will give you reasonable notice before they do.
Cancellations
If you cancel with less than 48 hours’ notice, the full fee is payable. I understand that auditions, filming, fixtures and travel move at short notice, and I will always try to find another time in the same week where I can.
If I have to cancel, you will not be charged and I will offer you an alternative.
Ending the work
You can stop at any time. I would usually suggest a final session to close things properly, but that is your choice. I may suggest ending or referring you elsewhere if I think you would be better served by someone else.
In an emergency
I cannot respond immediately to calls, emails or messages between sessions. If you need help urgently, call the Samaritans free on 116 123 at any hour, or NHS 111. In an emergency, call 999.
Complaints
If something about our work together has not been right, I would like to hear about it. Most things are best resolved by talking.

If that does not resolve it
I am a registered member of the BACP and bound by its Ethical Framework. You can raise a concern with the BACP through their Get Help with Counselling Concerns service at bacp.co.uk or on 01455 883300. You do not need my agreement to do so, and you can go to them directly if you would rather not raise it with me.
About your information
Complaints about how I have handled your personal data can go to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or 0303 123 1113.
Accessibility
I want this site to work for everyone, including people using a screen reader, a keyboard rather than a mouse, or a screen at high magnification.
What has been done
- Every image has a text description.
- The whole site can be navigated by keyboard, and whatever you have selected is clearly outlined.
- Text and background colours have been checked for contrast.
- Text resizes without the layout breaking.
- If you have asked your device to reduce motion, all movement on the site stops.
- The site works down to small phone screens without sideways scrolling.
Known limits
The site has not yet been through a formal independent audit against WCAG 2.2.
Telling me about a problem
If you hit something you cannot use, email me at trevor@trevorgraytherapy.co.uk and tell me what happened. I will fix it, and in the meantime I will give you whatever you needed another way.
